Introduction
In 2022, Joe Public approached us to assist with the fit-out of their new office space in Durban. They had identified a desirable location in La Lucia Ridge, but it was a blank slate—a complete white box.
Our task was to prepare a comprehensive budget cost estimate and space plan to guide their decision-making process. This case study explores the journey from the initial space evaluation to the final, cost-effective fit-out solution.
Initial Assessment
White Box Space
Joe Public initially envisioned occupying an entire floor in La Lucia Ridge, totalling 840 square meters. We conducted a detailed needs assessment and determined that a smaller space—420 square meters—would suffice for their current and future needs.
Cost Estimate
For the white box office, we provided a budget estimate that included:
- Drywalls
- Ceilings
- Air conditioning
- Electrical and data reticulation
- Flooring
- Painting
- Kitchen and reception units
- Window blinds
- Access control
- Graphics and signage
The cost estimate for fitting out the white box space was R 3768 per square meter, excluding VAT. This high cost was due to the need for extensive construction and installation of fundamental infrastructure.
Alternative Solution
Following our recommendation to explore other options, Joe Public found a larger, 532-square-meter space that was more cost-effective and included several existing infrastructure elements.
This space was:
- Fully air-conditioned
- Carpeted, with good quality carpets, which were not worn
- Equipped with boardroom and meeting room partitions and glazing
- Included an existing server room and kitchen area
- Featured an outside balcony
Revised Fit-Out Plan
We prepared a new space plan to ensure that Joe Public’s requirements, including future expansion, could be accommodated. The revised fit-out included:
- Modifications to existing air conditioning systems
- Addition of offices in an originally open-plan area
- Refurbishment of kitchen cupboards
- Installation of new manifestation graphics on glazing
- Painting of the space, including exposed air conditioning ducting in black to align with an industrial décor theme
- Data cabling and access control systems
- Custom-designed boardroom table
- Sourcing and refurbishment of second-hand furniture with bright, fun colours
Cost Analysis
The total fit-out cost for this newly selected space was R 1638.30 per square meter, plus VAT. This represented a significant saving of R 2130 per square meter compared to the initial white box option.
Conclusion
The decision to select a space with existing infrastructure and integrate it with a tailored fit-out plan led to substantial cost savings for Joe Public. Our detailed planning and cost analysis ensured that the final office space not only met but exceeded their needs, providing flexibility for future growth and a vibrant working environment.
